121 Media Group LLC (“121 Media Group,” “we,” “us,” or “our”) is a full-service media company based in Winston-Salem, North Carolina, offering web design, videography, photography, and graphic design. This Privacy Policy explains what information we collect when you visit our website or contact us, how we use it, who we share it with, and the choices you have. By using this website, you agree to the practices described here.

1. Information we collect

Information you give us

When you fill out our project inquiry form, book a discovery call, email us, or otherwise contact us, you may provide:

  • Contact details — your name, email address, phone number, organization name, and preferred contact method.
  • Project details — the services you’re interested in, goals, budget range, timeline, target dates, filming or shoot locations, intended use, quantities, and any other notes you choose to share.
  • Links — your current website or social media profile and any reference links you send us.
  • Attachments — files you upload (PDF, JPG, PNG, or DOCX, up to 10 MB), such as briefs, logos, or reference images.
  • Marketing preference — whether you opted in to receive occasional news and tips from us.
  • How you found us — if you choose to tell us.

Please don’t send us sensitive personal information (such as Social Security numbers, financial account numbers, or health information) through the website. If a project requires that kind of information, we’ll arrange a secure method with you directly.

Information collected automatically

  • Server and security logs. Like most websites, our hosting provider automatically records technical information such as IP address, browser type, device type, pages requested, referring page, and date and time of visit. These logs are used for security, troubleshooting, and performance.
  • Spam and abuse protection. To limit automated or repeated form submissions, we create a one-way, scrambled (hashed) version of your IP address and keep it only briefly for rate limiting. We do not store your raw IP address with your inquiry.
  • Browser storage. Our site uses your browser’s session storage to remember your progress in multi-step forms and project-builder selections while you have the tab open. This information stays on your device and is cleared when you close the tab.
  • Cookies. Our website uses only cookies that are necessary for it to work (for example, cookies WordPress sets for logged-in site administrators or for comment forms). We do not currently use advertising cookies. If we add analytics or advertising tools in the future, we will update this policy and, where required, ask for your consent.

Information from clients during a project

If you become a client, we may receive additional materials needed to deliver your project — for example, brand assets, website content, account access you grant us, and footage or photographs that may include you, your staff, members, or guests. We handle that material according to this policy and the terms of your written agreement with us.

2. How we use your information

  • To respond to your inquiry, prepare proposals and estimates, and schedule calls.
  • To send you a confirmation copy of the details you submitted.
  • To plan, deliver, and support the work you hire us for, and to invoice for it.
  • To track and follow up on inquiries internally (for example, creating a follow-up task in our project management tool).
  • To send occasional news and tips — only if you opted in. You can unsubscribe at any time.
  • To protect our website and visitors from spam, fraud, and abuse.
  • To improve our website and services.
  • To comply with legal obligations and enforce our agreements.

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

3. How we share information

We share information only with service providers that help us run our business, and only as needed for them to perform services for us:

  • Website hosting — our web host stores the website and the inquiries submitted through it.
  • Email — email service providers deliver inquiry notifications and our replies.
  • Project management — we may create an internal follow-up task (for example, in Asana) that contains your name, organization, and a summary of the services and timing you requested. We deliberately leave out your email address, phone number, and attachments.
  • Scheduling, invoicing, and client management tools — used when you book a call or become a client.
  • Professional advisors — such as accountants and attorneys, when necessary.

We may also disclose information if required by law, to respond to valid legal process, to protect the rights, property, or safety of 121 Media Group, our clients, or others, or in connection with a merger, sale, or transfer of our business.

4. Our portfolio and client work

Our website shows examples of work we’ve created for clients, such as website screenshots, photographs, and video. We display client work with permission as described in our client agreements. If you appear in something on our site and would like it reviewed or removed, contact us using the details below and we will respond promptly.

5. Third-party links and embedded content

Our site may link to, or embed content from, other websites (for example, client sites, video platforms, social networks, or a scheduling tool). Those sites have their own privacy practices, which we don’t control. Embedded content may behave as if you visited the other site directly, including setting its own cookies. Please review their privacy policies.

6. How long we keep information

  • Inquiries that don’t become projects — kept for up to 24 months so we can follow up and refer back to past conversations, then deleted.
  • Client records — kept for the length of our relationship and afterward as long as needed for taxes, accounting, legal requirements, and resolving disputes (generally up to seven years).
  • Attachments — stored in a private, non-public folder and deleted along with the related inquiry.
  • Anti-spam data — the hashed IP value used for rate limiting expires automatically within a short period.

You can ask us to delete your inquiry sooner at any time.

7. How we protect information

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted (HTTPS) connections, file-type and size checks on uploads, private storage for attachments, limited access to inquiry records, and spam protection. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a data breach affects your personal information, we will notify you as required by North Carolina law.

8. Your choices and rights

  • Access and correction — ask what information we have about you and ask us to correct it.
  • Deletion — ask us to delete your information, subject to records we must keep for legal or accounting reasons.
  • Marketing emails — unsubscribe using the link in any marketing email, or email us.
  • Cookies and storage — you can block or clear cookies and site storage in your browser settings; some site features may not work as well.

Depending on where you live, you may have additional rights under your state’s privacy law. To make a request, email us at the address below. We may need to verify your identity before acting on a request, and we will not treat you differently for exercising your rights.

Do Not Track and Global Privacy Control. Because we don’t use advertising or cross-site tracking tools, we don’t change our practices in response to these browser signals. If that changes, we will update this policy.

9. Children’s privacy

Our website is intended for businesses, churches, and organizations and is not directed to children under 13. We do not knowingly collect personal information from children through this website. If you believe a child has sent us personal information, contact us and we will delete it. Photos or video of minors captured during client projects are handled under the client’s agreement and any required parent or guardian permissions.

10. Visitors outside the United States

We are based in the United States, and information you submit is processed and stored in the United States. By using our website, you understand that your information will be handled under U.S. law.

11. Changes to this policy

We may update this Privacy Policy from time to time — for example, when we add new tools such as analytics, online scheduling, or payments. We will post the updated version on this page with a new effective date. If we make material changes, we will make reasonable efforts to let you know.
